Migrating Your PBX to a Microsoft Teams Phone System

by | Cloud, Network, Technology

“Come here—I want to see you,” were the first words uttered over a telephone line. After he said them, Alexander Graham Bell was thrilled that his assistant, Thomas Watson, showed up and reported that he had heard the command. As thrilled as Mr. Bell was at the time, he would certainly be gobsmacked at what the modern-day phone has become. Traditional landline-based cabling has given way to complex cell technology such as mobile networks, virtual phone services, and cloud-based phone systems. For businesses, the possibilities are in an ever-evolving cascade of greater capabilities, lower costs, and more disaster-proof infrastructures.

What is a PBX & how is it different from a cloud-based phone system?

Many of our clients call us ready to move on from their limited Private Branch Exchange (PBX) systems and transition to the power of cloud-based solutions. In traditional PBX systems, instead of a single line to each employee, one phone number can be used and serve the company’s many employees. The traditional PBX system gives the business an internal phone system with fewer phone lines from the phone company. The system gives phone extensions to each employee and can offer the option to manage voicemails, auto attendants, and recorded messages.

In a PBX system, different hardware components work in tandem to provide connections to the telephone network. In contrast, the system manages the routing and other call features for inbound and outbound calls.

Traditional PBXs are often proprietary and very difficult to maintain. This is why so many CyAs clients are eager to evolve to new systems like the Microsoft Teams Phone system. Traditional systems often require one or more system administrators with telecom experience and office space for the physical system. With CyAs Tech, you don’t need any of that! Often, when implementing cloud-based systems, we discover that companies are often paying for traditional telephone services that don’t fully cover all their needs.

Like Mr. Watson, we here at CyAs Tech are here for you and are ready to show up when you call! Whether it’s cybersecurity, cloud implementation, IT help, IT support, or more, we are your team serving Scotts Valley, Santa Cruz, Capitola, Watsonville, and beyond.

Here are the key steps we take to move a PBX to the cloud-based Microsoft Teams phone system:

We help you buy and assign your phone system licenses

Teams dials or receives cell and landline calls for your users with individual Microsoft Teams Phone Standard Licenses. The license provides cloud voicemail, caller ID, call park, call forwarding, auto attendants, call queues, call transfer, and caller ID. This may sound complicated, but we facilitate the process and often remove hidden costs you were paying before.

We help connect you to your phone network provider

There are multiple options on how to connect with your provider. We help determine the one that is going to be most helpful for you, including the option to connect with an all-in-the-cloud solution.

We help get phone numbers for your users

The type of license will determine how many phone numbers you sign up for and how you want them assigned, changed, or removed. CyAs Tech is happy to help you navigate through your choices in a custom solution for you.

We help set up phone numbers for your services call queue

A user’s phone number can only handle a few calls simultaneously. For service numbers, you likely need to manage multiple calls at once, potentially in the hundreds. If you need a call queue, we will work with your call tree and call management that forwards calls to the next available associate.

We help set up your auto attendant

Auto attendants are navigation menus that help forward callers to the right department, call queue, person, or operator. We help establish and build your auto attendants when switching from a PBX to cloud-based calling.

We make sure your fire alarm telephone line stays intact

While your new system removes the need for landlines, you still need one. The requirements for fire alarm signaling have been well defined by the National Fire Protection Association (NFPA) 72 National Fire Alarm Code. This code includes the application, installation, location, performance, inspection, testing, and maintenance of fire alarm systems, fire warning equipment, and emergency warning equipment. It also defines how signals for help are initiated and their transmission, notification, and annunciation. Part of the requirement includes building owners needing at least one dedicated Plain Old Telephone System (POTS).

The long road from landlines to cloud-based calling, video chats, & texting

We are here to help your business’s tech run smoothly and stay up to date with innovations. Upgrading tech can get pricy, but changing from a traditional PBX to a cloud-based system has huge benefits. Cloud-based phone systems are more flexible and accessible than a PBX, and on average save you from hidden fees you didn’t know you were paying!

In 1876, Alexander Graham Bell successfully connected the first ever recorded telephone call to Thomas Watson and asked to see him in person. His groundbreaking invention was the starting point for our revolutionary platforms. We no longer need to travel hundreds of miles to chat & can see each other face-to-face from anywhere around the globe.

We think Mr. Bell would be wowed entirely, and when we get through with your new system, you’ll be wowing too!
